Today we would discuss about Structure Systems in PIM desktop.
Standard structure systems and user-defined structure systems are powerful and flexible tools for organization, navigation and display in PIM Desktop. Structure systems make it easier for the user to maintain an overview on very large volumes of data due to its hierarchical layout.
The Structures perspective can be used for numerous functions like create and edit user-defined structure systems, monitor and edit features and details of structure systems.
Primary structure tree
The Primary structure tree view is a part of the Structures perspective. It displays the selected structure system in the form of a tree hierarchy. Additionally, Class List is a view that displays the structure system in the form of a table. Both the views can be used to display independent structure systems different from one another.
The Secondary structure tree view displays the structure system which has been defined as secondary in the preferences. To navigate in the structure system, expand and collapse the branches.
User-defined structure systems can be deleted only in the Structures perspective. To achieve this, navigate to Delete structure in the Views menu of the Primary structure tree view.
Click to browse the structure. An input field opens.
Enter the search term in the search field.
The search can be limited to the branch that is currently selected by clicking on the search icon. The search mode is activated when the symbol appears depressed.
Changing the structure displayed
Navigate to Open structure from the Views menu in the Primary structure tree view.
In the subsequent sub-menu, select the desired structure system. Open any structure system that is available in the system.
User can also select Different structure language to open the current structure system in another language. If the language selected by the user is not maintained in the system then all of the structure groups are displayed with the name Unknown structure group.
The Group type column specifies whether a structure group is a node or a leaf. A structure group is classified as a node if other, subordinate structure groups are assigned to it. A structure group at the lowest level is referred to as a leaf.
If a different structure is opened in the Primary structure tree view, the structure displayed in the Class list view does not automatically change. This allows a comparison between different structures.
Moving structure groups
More than one structure group can be selected in the Class list view.Use drag and drop to simultaneously attach all selected nodes to another target node in the Primary structure tree view.
Creating a structure system
Switch to the Structures perspective.
Select New structure from the Views menu in the Primary structure tree view. Provide the name and description for the new structure system in the wizard that opens.
Enter the name and identifier of the structure system. Click on Next.
Specify whether the depth of the structure system is limited and, if necessary, the maximum number of levels the structure system is to have.
Specify whether multiple assignment of items is allowed, whether assignment at all levels is possible and which numbering system is to be used to identify the structure system
Click on Finish. The structure system is created and is loaded in the Primary structure tree view.
Now start setting up the structure groups or import a structure system.
Creating structure groups
In the Primary structure tree view, click on to create a new structure group within the currently selected group level.
Enter a name for the new structure group.
Press the Enter key to confirm.
The Class details view is used to maintain additional details of the structure.
To create a subordinate structure group for an existing node:
Select the node.
Call up New subordinate structure group from the pop-up menu. A new structure group is created within the selected group.
To maintain additional details for the subordinate structure group in the Subordinate make use of the structure groups view.
Changing the order of structure groups
Use drag and drop to change the order of the structure groups and to rearrange the hierarchies. It can take some time to recalculate very large structures. User can also rename or delete structure groups once they have been created.
Renaming structure groups
Select a node.
Double click on the name or press the F2 key.
Change the name.
Press the Enter key to confirm.
Deleting structure groups
Select the structure group to be deleted.
Call up Delete structure group from the pop-up menu or press the DEL key.
A confirmation prompt containing the number of assigned items is displayed.
Confirm with Yes.
The structure group is deleted and the structure assignments for the items are removed.
The Class details view contains a form representing the structure group that was selected in the Primary structure tree view. Field selection dialog box is used to show or hide additional fields. The Hierarchical number field is displayed by default.
Subordinate structure groups
Subordinate structure groups view is put to use when editing a user-defined hierarchical structure system. It is also used to display a standard structure system. However, it cannot be edited. Field selection dialog box is used to show additional columns.
To create new structure groups in this view:
Click on in the view. A new row is created in the table.
Enter the name and hierarchical number.
Click on to save the new data record.
Setting object rights for a structure system
Object rights are used to restrict or block access to a structure system for individual users or groups.
Select Object rights in the Views menu of the Primary structure tree view. The Object rights dialog box opens.
Edit the object rights.
Enable the Rights passed down to child objects (structure group) option so that all structure groups in the structure inherit the settings.
